We had printers from several brands and cartridges that didn't all work with the devices we actually owned. It was a mess.

Paper weight matters too. Standard copy paper is around 20 lb bond, or 75 gsm. Heavier letterhead is often 24 lb bond, about 90 gsm. If you're printing a 500-page onboarding packet, a paper change without an equipment setting update can cause curling, jams, or double-feeds. The tray is not intuitive. It needs a human to set it properly.
And print files should be 300 DPI at final size before they go to the printer. If the file is 72 DPI, no printer can make it look sharp. That's not a brand limitation; it's math.
Then there's specialty media. A few years ago, marketing asked for transparent printer paper. I thought any clear film would work, so I ordered the first one I saw. It was designed for inkjet printers, not for the laser printer in our office. The coating melted on the fuser, the sheets curled, and I ruined half a box before reading the spec. The second box, labeled for laser printers, worked without a problem. The lesson wasn't that Brother printers are hard to please. The lesson was that buyers need to check media compatibility.
Digital efficiency is real, but it's not magic
I'm not one of those buyers who thinks paper will never disappear. I already use digital invoices, electronic approvals, and online vendor portals. I've even seen people at my company download free 3D printer files for fun and eventually turn those prototypes into actual product concepts. Digital technology can be a huge efficiency win.
But the idea that everything should be digital ignores how work actually happens. Contracts still get printed for signatures. Shipping labels still get printed. Compliance documents still get printed. Even the most paper-light office usually has at least one printer tucked into a corner—and someone still has to buy the toner, set the paper size, and fix the wifi connection.
That's why I describe myself as pro-efficiency, not anti-paper. The goal is not to remove every physical print. The goal is to make the printing you still do as fast and as painless as possible. That's the efficiency stance I've landed on after years of managing office budgets: don't celebrate a paperless future while ignoring the paper-heavy present.
But isn't this all small stuff?
You might think paper size, toner part numbers, and wifi settings are too small to matter. I used to think that too. Then a delayed toner shipment held up a client project for three days. The project manager had to explain it to the VP. The contract had a deadline, and the printed materials were part of the deliverable. That's when I learned that small stuff is the whole job. Efficiency isn't about one dramatic improvement. It's about protecting the process from a thousand tiny failures.
I also believe in being honest about what I do not know. I do not think Brother is the only acceptable printer brand. I know there are other reliable options. I also know that no brand can save you from buying the wrong paper or ignoring the network setup. What I've come to appreciate about Brother is predictability: when I order the right Brother toner, check the media spec, and follow the setup guide, the equipment behaves. That doesn't happen by accident. It happens because someone in charge of procurement treats printing as a system, not as a magic box.

After five years and more supply orders than I can count, I've stopped asking which printer is the fastest and started asking which printing process is the most predictable. The reliable answer is to standardize equipment, standardize supplies, write down the setup steps, and train people to follow them.
