The Office Print Setup Checklist: 8 Steps I Run Before Buying or Deploying Any Printer

I've been handling office equipment orders for nine years. In that time I've personally made (and documented) 14 significant mistakes, totaling roughly $2,300 in wasted budget. Now I maintain our team's pre-purchase checklist so nobody else has to repeat them.

Here's the thing — this is not a "best printers of the year" list, and it's not about brand loyalty. It's eight steps I run before we buy or deploy any machine. If you're setting up a single compact photo printer for a design corner or a mixed fleet of office lasers, the sequence works the same way. The whole checklist takes about 25 minutes per machine category. It has saved me weeks of rework.

Step 1: Figure Out Which Printer Category You Actually Need

Before you look at a single spec sheet, answer the question behind the question. A machine that prints 15 pages a week in a cubicle and a machine that runs 400 pages a day for a shared team are not the same purchase, even if the price tags are within a few hundred dollars.

Broadly: laser machines for high-volume text and forms, inkjet or dedicated photo units for color-critical work, and mobile options when the printing needs to happen away from the desk. Most buyers focus on the per-unit price and completely miss the fact that category choice locks in your consumable spend for the next three years. Pick the wrong category and every later decision gets more expensive.

If you can't say in one sentence what the machine is mostly going to print, don't buy yet.

Step 2: Price the Consumables Before You Price the Machine

From the outside, the $300 machine looks cheaper than the $450 machine. The reality is that the sticker price is only the visible tip of what you'll actually spend.

I now calculate total cost of ownership before comparing any vendor quotes. That means machine cost, plus three years of consumables at realistic volume, plus shipping, plus any setup or on-site service fees. Divide the total by estimated lifetime pages and you get a per-page number. That's the number that matters.

Real example from our books: we picked a desktop laser that was $120 cheaper up front. Over three years it cost about $340 more in consumables. The "cheaper" machine was the more expensive decision. (Note to self: also remember to check whether the annual maintenance kit is included or a separate line item — we got burned on that once.)

The $500 quote turned into $800 after shipping, setup, and revision fees. The $650 all-inclusive quote was actually cheaper.

Step 3: Match the Exact Toner or Ink Part Number

This is where most people trip, and it cost us $890 in September 2022. We ordered a batch of consumables that looked right, arrived fine, and half of them wouldn't seat in the machines — because within the same product family, different models use different cartridges.

Take the Brother HL-L2395DW: the toner that fits it is a specific part number, and it only crosses over to a limited set of other models in that lineup. If you have one of these and order "Brother mono laser toner," you have maybe a 50% chance of getting the right box.

Before you pay, do this:

  • Copy the full model number from the label on the machine itself, not from your own records
  • Look up the consumable part number on the manufacturer's own product page — not a reseller's listing page
  • Compare standard-yield vs. high-yield pricing before you commit; the crossover point depends on your monthly volume

And another thing — "compatible" third-party cartridges aren't automatically a red flag, but if you care about warranty coverage, check the terms before you buy. Don't assume. I learned that the hard way.

Step 4: Confirm Network, Driver, and OS Support Before Delivery

In Q1 2024 we shipped a batch of machines to a satellite office. Drivers were fine. The OS version wasn't. One team was on a beta channel and the driver support just wasn't there. Three-day production delay, all of it avoidable.

Before the machine ships, confirm three things: how it connects (Wi-Fi, Ethernet, USB — and whether the placement actually reaches), whether the driver or universal driver exists for the receiving users' actual OS versions, and whether any IT policy on that network will block the device.

This takes minutes. Skipping it takes days.

Step 5: Run a Real-Document Test, Not a Test Page

A test page tells you the printer turns on and can produce a page. That's basically it.

Open an actual office document — a multi-page table, or a PDF report with charts — and print it. Check the margins and duplex alignment, check readability on the actual paper stock, and time the first page out. If the team scans regularly, scan something too.

One thing almost nobody checks: paper weight consistency. Standard copy paper is about 20 lb bond (roughly 75 gsm), and premium letterhead is around 24 lb (roughly 90 gsm). If your tray auto-selects by weight and your team mixes stocks, you'll get jams that look like hardware faults but are really a paper settings problem. Set the default tray behavior before you hand the machine over.

Step 6: Treat Specialty Machines Separately

Anything that isn't a standard office laser gets its own sub-checklist. I once bundled four specialty devices into one purchase order. Two arrived with the wrong consumables and one had no ventilation plan. Never again.

Compact photo printer: confirm the paper sizes it supports (many do 4×6 but not letter), check the manufacturer-stated photo resolution on the spec sheet, and price the cost per print — not just the cost per ink cartridge. Photo printing is where the per-page cost sneaks up on you.

Sublimation printer (for mugs, tags, and branded merch — a Brother sublimation printer is one common option, but the same logic applies to any brand): verify that the consumables actually have a supply chain in your country, confirm which transfer materials are tested for that model, and run a small batch before promising anything to a client. Sublimation is unforgiving on the first run.

Mobile printer (an HP mobile printer or a comparable compact unit from another brand): check the battery spec and realistic pages per charge — user-manual numbers rarely match real life — and confirm whether it pairs over Bluetooth or Wi-Fi before you hand it to a field rep who's about to drive four hours.

3D printer: learning how to use a 3D printer in an office setting is not a plug-it-in task. You need slicer software, a material storage plan, and ventilation. Assign one named owner; unnamed 3D printers collect dust. And filament has a shelf life — don't stockpile five spools on day one.

Step 7: Set Up a Consumables Reorder Trigger

Don't wait for the toner light. By then you've been printing progressively fainter pages for a week, and you're now hostage to whatever shipping speed you can get.

Track by cartridge, not by printer — machines in the same fleet burn through at different rates. Keep at least one full spare on hand for any high-volume unit. Set your reorder trigger at a fixed percentage remaining, and let the calendar remind you, not the machine.

We've caught 11 potential stockouts in the past 18 months using this. It's not clever. It just works.

Step 8: Log the Asset With the Details Nobody Records

This is the step most people skip. It's also the one that saves the most time later.

Your record should include the full model number, the consumable part number, purchase date and warranty end, driver version installed, and any quirks that matter — like "tray 2 misfeeds" or "needs a manual wake before duplex." Put it in a wiki page or a spreadsheet. Doesn't matter which. It just needs to be findable by someone who has never touched that machine before.

If a new hire can't troubleshoot a paper jam without asking three people, your documentation is the problem.

Common Mistakes That Still Bite Me

  • Assuming "same specs" means the same result. I assumed it once across vendors and didn't verify. Turned out each had slightly different interpretations of what those specs meant.
  • Skipping the pre-check list when I'm in a hurry. After the third rejection in Q1 2024, I built the checklist. It has caught over $4,000 in potential rework since.
  • Rush orders. Expedited turnaround adds a premium to almost everything. If you're already tight on time, the "cheap" machine loses its only advantage.
  • Assuming IT will handle the network setup. Sometimes they will. Often they assume you already did it, and everybody finds out on day one.

None of this is complicated. It just goes wrong when it isn't written down.

Bottom line — a checklist isn't glamorous. It's just a sequence of steps that makes an error harder to make. Every mistake you stop before it happens is one you never have to clean up afterward.
